Review Pilot terms of use

These terms apply to invited users of Review Pilot. A separate written agreement between The AI Method and a client organisation takes precedence if it conflicts with these terms.

1. The service

Review Pilot is a managed workspace for restaurant review monitoring, AI-assisted response drafting, human approval, publication and audit records. It is operated by The AI Method in West Yorkshire, United Kingdom.

2. Invitation and accounts

Use is limited to people invited by an authorised client or The AI Method. You must use your own work email address, keep access to that mailbox secure and tell us promptly if you believe a sign-in link or account has been misused. You must not share access or attempt to enter another client's workspace.

3. Connected services

A client connects its own Google Business Profile account and configures its own Tripadvisor notification route. The client remains responsible for its source accounts, permissions and compliance with the terms of those services. Access can be revoked through the source provider or by asking The AI Method to disconnect it.

4. Google Business Profile permission

Google requires the business.manage OAuth permission for the Business Profile APIs used by Review Pilot. Review Pilot limits its use to listing the accounts and locations the user manages, retrieving reviews, receiving review notifications and publishing a specific reply after human approval.

Review Pilot will not create, edit or delete Google Business Profile listings. It will not change business details, opening hours, categories, photos, menus, users or ownership.

5. Human approval

Every generated response is a proposal. An authorised user is responsible for checking accuracy, tone, factual claims and suitability before approval. Approval does not publish a response. Publishing is a separate deliberate action. The client is responsible for the final content it chooses to publish.

6. Acceptable use

You must not use Review Pilot to break the law, infringe another person's rights, publish abusive or deceptive content, upload malicious material, probe security, bypass access controls, scrape the service, or interfere with other users or connected services. Do not upload special category information or confidential material unless it is necessary, authorised and covered by the client's agreement.

7. Client information and intellectual property

The client keeps ownership of the restaurant information, branding, reviews and response content it supplies or controls. The client gives The AI Method the rights needed to process that material solely to provide and support Review Pilot. The AI Method keeps ownership of the service, software, design and operating materials.

8. Privacy and confidentiality

Our privacy policy explains how personal information and Google user data are handled. Client data is kept within the relevant workspace and shared with service providers only as needed to operate the service. Any additional confidentiality and data-processing commitments are set out in the client's written agreement.

9. Availability and changes

We aim to provide a reliable service, but Review Pilot depends on third-party platforms and APIs. We do not promise uninterrupted or error-free availability. We may make proportionate changes for security, compliance, platform compatibility or service improvement and will give reasonable notice of material changes where practical.

10. Suspension and ending access

We may suspend access where reasonably necessary to protect users, data, connected services or the platform, or where these terms or a client agreement are breached. When a client is offboarded, Review Pilot removes user access, disables inbound routing and revokes and deletes locally held Google connection tokens, subject to the agreed export and retention process.

11. Liability

Nothing in these terms excludes liability that cannot legally be excluded, including liability for fraud or for death or personal injury caused by negligence. Subject to that, Review Pilot is a business support tool and The AI Method is not responsible for a client's final publishing decisions, source-platform changes or losses that are indirect or were not reasonably foreseeable. Any further limits are set out in the client's written agreement.

12. Governing law

These terms are governed by the law of England and Wales. The courts of England and Wales have jurisdiction, unless the client's written agreement states otherwise.
